Primary Responsibilities:

  • Support the Managing Partner and EVP of Sales primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently

  • Maintain and refine internal processes that support executives, and coordinate internal and external resources to expedite workflows

  • Manage communication with agents, carriers, vendors and employees by liaising with executives on various projects and tasks

  • Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld

  • Learn and embrace company values and positive culture

  • Manage professional and personal scheduling for executives, including agendas, mail, email, phone calls, client management, and other company logistics

  • Coordinate scheduling and calendar management, as well as content and flow of information to senior executives

  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals

  • Prepare, reconcile, and submit expense reports in Concur

  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of AgencyBloc, PhoneBurner, Accupoint, Bloomgrowth and other company tools. 

  • Maintain professionalism and strict confidentiality with all materials

  • Organize communications and coordinate with marketing team for events, both internal and off-site in support of executives

  • Assist with ad hoc projects as assigned

  • Be available for daily check-in calls

Primary Skills & Requirements:

  • Excellent written and verbal communication skills

  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

  • Proficiency with office productivity tools and an aptitude for learning new software and systems

  • Flexible team player, willing to adapt to changes and unafraid of challenges

  • Ability to maintain confidentiality of information related to the company and its employees

  • Advanced administrative, secretarial and clerical skills

  • Experience in a fast paced and ever-changing sales driven organization

  • Experience with CRM tools such as Salesforce, AgencyBloc, SmartOffice, SmartAgent, Redtail or sales or insurance-oriented CRM tools. 

  • Experience and desire to learn new technology and productivity tools including AI

  • Ability to maintain a positive and optimistic attitude to get things done and have fun
