Requirements

  • Knowledge of policies and procedures of the Indiana Alcohol and Tobacco Commission and Indiana State Excise Police
  • Working knowledge of the state’s alcohol, tobacco, and Type II gaming laws and administrative code
  • Ability to perform various office practices and procedures
  • Ability to engage with the public and business representatives to assist them with their inquiries
  • Must have the ability to communicate effectively in written and oral form

Responsibilities

  • Provide administrative and secretarial support for the district’s administrative and criminal investigations
  • Coordinate numerous agency programs and projects, pursuant to agency policy and procedures
  • Maintain agency files and records, including those related to licensed alcohol, tobacco, and Type II gaming facilities in the district
  • Oversee the district’s issuance of temporary beer and wine permits, including processing the permit applications, recording and depositing payments into an agency bank account, and maintaining and disseminating information on these temporary events to the district’s enforcement officers
  • Oversee the district’s approval of catering authority requests from licensed caterers, including processing the permit applications and maintaining and disseminating information on these catering events to the district’s enforcement officers
  • Be solely responsible for opening and closing the district office daily
  • Maintain all administrative office details, ensuring that supplies and equipment are in working order for the district’s operations
  • Maintain high confidentiality at all times due to sensitive information within the department and with customers, records, and citizen complaints on licensed establishments
  • Provide direct assistance and support to the district commander and officers, personnel, permit holders, other police departments, and citizens within the district’s 20 counties
  • Transcribe in- and out-of-district local board hearings for appeal hearings
  • Open, sort, and distribute all incoming mail, faxes, and emails
  • Answer and screen all incoming telephone calls
  • Research and record criminal case dispositions
  • Maintain and record 150+ in-district club permit holders’ guest night requests annually
  • Utilize internal electronic systems for complaint recording, maintaining records, and inputting data
  • Review, approve/deny all incoming district catering requests for alcohol
  • Serve as the district’s liaison for permit holders and the client, providing paperwork, mailing forms, and answering permit-holder questions
  • Engage with the public and permit holders by explaining new and current laws; answer and direct any questions regarding laws to the appropriate personnel
  • Type memos, correspondence for citizens, permit holders, and district personnel
  • Perform other duties as required
