Requirements
- Bachelor’s Degree and 5+ years of experience as an administrative assistant or an equivalent combination of experience and training that demonstrates the required knowledge, skills, and abilities
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Concur
- Ability to excel in a fast-paced environment, managing multiple priorities effectively
- Exceptional attention to detail and accuracy in all tasks
- A proactive and adaptable mindset with a “no job too big or small” mentality, eager to take on diverse responsibilities
- Professional demeanor and strict discretion when handling sensitive or confidential information
- Strong time management skills and the ability to prioritize tasks efficiently
- Proactive in following up on details, anticipating issues, and ensuring closure on all requests
- Must be teamwork-oriented while also capable of working independently with minimal guidance
- Required to be in the office 5 days per week
Responsibilities
- Manage calendars, including meeting coordination, resolving conflicts and changing schedules, and preparing for meetings by ensuring all materials and logistics (catering, visitor registration, AV support, etc.) are in place in advance
- Provide phone coverage for members of the team. Answer, screen, and route a high volume of time sensitive phone calls; accurately communicate detailed and timely messages
- Coordinate domestic / international travel arrangements, including flights, hotels, and ground transportation in compliance with the firm expense T&E policies
- Process travel & entertainment reports and reimbursements efficiently and accurately
- Support the CEO’s executive administrator with distinct tasks and projects
- Adhoc projects as assigned
