Requirements

  • High school diploma or GED
  • 2+ year of Administration experience
  • 1+ year experience in MS Office Suite (Including Excel)

Responsibilities

  • Through professional phone demeanor, interact with customers and vendors to determine appropriate service requirements
  • Keep customers and salespeople informed. Diligently follow-up on all orders and releases. Work with the depot equipment coordinator for outbound/inbound shipments and orders.
  • Coordinate scheduling of manpower and communicate with Equipment Coordinator, Depot Manager, and salespeople daily
  • Maintain active relationships with multiple transportation suppliers through daily contacts
  • Serve as the initial contact for A/R collection – review and approve customer invoices
  • Review vendor invoices and ensure that they are in the proper form for payment processing.
  • Maintain and update Accounts Payable and Accounts Receivable tracking files
  • Call customers to verify they have received invoices and request a pay date
  • Maintain active relationships with all third-party suppliers through periodic contact
  • Prepare Rental Agreements, Bill of Ladings, job related Purchase Orders, AS needed when the equipment coordinator is unable
  • Maintain record of service activities including closing out jobs on the schedule board when completed. Log all project releases and ensure customer signature
  • Coordinate all equipment transportation activity. Provide prompt notification to customer, salespeople, technicians, and managers. Log all outsourced transportation services
  • Assist with technician and subcontractor scheduling and other activities
  • Participate in all weekly depot meetings and monthly Rentals Coordinator and A/R conference calls
