Requirements

  • High School Diploma or GED
  • 5+ years C-level executive support experience
  • Highly refined ability to use discretion regarding confidential information
  • Experience working diplomatically and collaboratively in an environment comprised of internal and external business partners and/or consultants
  • Advanced proficiency in Microsoft Office programs to include Outlook, PowerPoint, Word, and Excel
  • Proficient in use of SharePoint and Adobe Professional
  • Knowledge of business and management principles, time management, and problem-solving skills
  • Strong people skills and ability to collaborate effectively with peers, clients, vendors, and a wide range of people with diverse cultural backgrounds
  • Ability to work independently, manage multiple tasks simultaneously, and manage time given frequently changing priorities
  • Excellent verbal and written communication skills

Responsibilities

  • Executive Administrative support for the Chief Financial Officer, Chief Risk Officer, Chief Compliance Officer, Chief Audit Executive, and the Head of Information Technology
  • Proactively anticipates needs of the Functions C-Suite Executives including handling day-to-day issues, collect/prepare team meeting materials and presentations, proactively managing calendars and conflicts
  • Actively manage daily itineraries for Function C-Suite Executives including proactively reaching out to organizers for materials, meeting content, expectations of participation
  • Create and maintain official agendas for team meetings including compilation of materials, scheduling and coordination with participants, collection of agenda items, as needed
  • Calendar Management support for all C-Suite Executive functional leaders
  • Arranges all travel for C-Suite Executive functional leaders, including compilation of itinerary, coordinating their travel day (office space reservations, ground and air transportation, directions, lodging, coordination and scheduling offsite connections and meetings, preparation of materials prior to departure)
  • Prepares expense reports for Functions C-Suite Executives maintaining compliance with established policies & procedures and ensuring timely submissions
  • Maintenance of Personal Time Off calendars for Functions C-suite executive teams
  • Coordinates functional team, programs, and office activities, team building activities and offsite events
  • Coordinates meetings and conferences rooms for Functions C-Suite Executives, as requested
  • Primary responsibility for RBC Bank’s Admin Team Group email inbox, triaging requests for either fulfilment or distributing to other administrative colleagues for completion
  • Primary point of contact for RBC Bank’s main telephone line and triage as appropriate
  • Back up support to Administrative Support Officer/Officer Manager coordinating all maintenance issues and requests related to the Raleigh, NC office including acting as liaison with Building Management, working with the building maintenance and repair team
  • Back up support for the Health and Safety Coordinator. Assist senior leadership with directing employees during evacuation/emergency events
  • Employ discretion, tact and diplomacy in managing and coordinating meeting and work requests. Assess priority and urgency of conflicting matters and redirect to staff where appropriate
