Requirements
- 5+ years of experience as an Executive Assistant, preferably in the SaaS or technology sector.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and work under pressure.
- Strong communication skills, both written and verbal, with a high level of professionalism.
- Proficient in Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Demonstrated ability to handle confidential information with integrity and professionalism.
- Strong problem-solving skills and attention to detail.
- Flexibility to adapt to changing priorities and business needs.
- Willingness to travel for onsite events in all Deputy regions as needed to support leadership and company-wide meetings and events.
Responsibilities
- Provide high-level administrative support to executives, including managing schedules, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations for executive meetings and conferences.
- Act as a liaison between the executive team and internal/external stakeholders, ensuring effective communication and collaboration.
- Manage special projects and initiatives as assigned, ensuring timely completion and adherence to objectives.
- Assist in the preparation and follow-up of agendas and minutes for meetings, ensuring all action items are tracked and executed.
- Maintain confidentiality of sensitive information and exercise discretion in all interactions.
- Monitor and manage executive correspondence, prioritizing responses and flagging urgent matters.
- Develop and maintain efficient office systems and processes to enhance productivity.
- Coordinate and plan team events, including off-site meetings, retreats, and training sessions.
- Serve as a lead and mentor to other Executive Assistants, providing guidance, training, and support to ensure consistency in processes, communication, and performance across the administrative team.
- Support in-office leadership and company-wide meetings events onsite across all Deputy regions as needed.
