Responsibilities
- Coordinate and manage the executive’s schedule, including arranging meetings, appointments, and travel itineraries.
- Serve as the primary point of contact for internal and external communications on behalf of the executive.
- Organize and maintain sensitive and confidential information, documents, and files.
- Prepare agendas, presentations, and materials for meetings, conferences, and events.
- Arrange complex travel logistics, including flights, accommodations, and transportation.
- Manage incoming tasks, requests, and projects, prioritizing them based on urgency and importance.
- Build and maintain positive working relationships with internal and external stakeholders.
- Track, review, and reconcile expense reports, ensuring adherence to company policies and guidelines.
- Provide administrative support for strategic initiatives, special projects, and ad hoc assignments as needed.
- Coordinate and plan summer and holiday parties, collaborating with other administrative assistants to ensure seamless execution.
- Act as a cultural ambassador, embodying the organization’s values and promoting a positive work culture.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Anticipate challenges and proactively identify solutions to address them.
- Stay updated on industry trends, best practices, and tools related to executive assistance and administrative support.
Preferred Qualifications
- Bachelor’s degree or equivalent work experience providing high-level administrative support to executives or senior management.
- Minimum of 4 years of experience as an executive assistant in a fast-paced office environment.
