Requirements

Responsibilities

  • Coordinate and manage the executive’s schedule, including arranging meetings, appointments, and travel itineraries.
  • Serve as the primary point of contact for internal and external communications on behalf of the executive.
  • Organize and maintain sensitive and confidential information, documents, and files.
  • Prepare agendas, presentations, and materials for meetings, conferences, and events.
  • Arrange complex travel logistics, including flights, accommodations, and transportation.
  • Manage incoming tasks, requests, and projects, prioritizing them based on urgency and importance.
  • Build and maintain positive working relationships with internal and external stakeholders.
  • Track, review, and reconcile expense reports, ensuring adherence to company policies and guidelines.
  • Provide administrative support for strategic initiatives, special projects, and ad hoc assignments as needed.
  • Coordinate and plan summer and holiday parties, collaborating with other administrative assistants to ensure seamless execution.
  • Act as a cultural ambassador, embodying the organization’s values and promoting a positive work culture.
  • Handle confidential and sensitive information with the utmost discretion and integrity.
  • Anticipate challenges and proactively identify solutions to address them.
  • Stay updated on industry trends, best practices, and tools related to executive assistance and administrative support.

Preferred Qualifications

  • Bachelor’s degree or equivalent work experience providing high-level administrative support to executives or senior management.
  • Minimum of 4 years of experience as an executive assistant in a fast-paced office environment.
