Requirements
- Bachelor’s Degree or higher from an accredited university AND Five (5) years of Executive Assistant experience supporting a Vice President or above.
- OR High School Diploma/GED from an accredited institution AND Nine (9) years of Executive Assistant experience supporting a Vice President or above.
- Proficiency in using Outlook and OneNote (calendar/meeting minutes), PowerPoint (staff meetings agenda, follow-ups), Concur (travel management), Excel (department budget management), Workday (system approvals, requisition creation) and other tools and technology.
Responsibilities
- Provide high-level executive administrative support to a Senior Vice President.
- Demonstrate exceptional organizational skills and discretion with the ability to prioritize tasks effectively.
- Exhibit professionalism, efficiency, and a proactive approach to managing complex schedules, communication, and administrative tasks.
- Responsible for calendar management and coordination of multiple complex calendars across the team, including scheduling meetings, events, appointments, and travel arrangements.
- Manage all travel arrangements including flights, accommodations, transportation, and visas.
- Administer travel and entertainment expense submission, process purchase orders, and monthly departmental expenses and headcount review.
- Coordinate and prepare agendas and logistics for meetings, including room bookings, catering arrangements, and technical support.
- Organize meeting notes and minutes, identify follow-up actions, and track progress on open items.
- Plan and coordinate onsite and offsite team meetings.
- Handle confidential financial information and maintaining files/archives (electronic/physical).
- Willingness to be on-call; high-energy, and a problem-solving attitude.
Preferred Qualifications
- Prior experience as an Executive Assistant supporting a SVP, CFO, or CEO.
- Anticipate the needs of the executives and proactively address any issues or concerns.
- Handle confidential and sensitive information with discretion and professionalism.
- Exceptional organizational skills and attention to detail with the ability to prioritize tasks and manage time effectively.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
- Flexibility to adapt to changing priorities and deadlines.
