Requirements

  • Bachelor’s degree in Interior Design, Business Administration, Construction Management, or related field (preferred)
  • 3-5 years of experience in an executive assistant or project coordinator role, with a focus on construction or interior design
  • Strong understanding of construction processes, project management, and interior design workflows
  • Proficient in CAD Design software as well as Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Ability to work in a fast-paced environment and handle multiple projects simultaneously
  • Direct experience with interior design concepts, materials, and vendor relationships
  • Proactive and self-motivated with a high level of attention to detail
  • Strong problem-solving skills and the ability to work independently or as part of a team
  • Excellent interpersonal skills with the ability to collaborate with diverse teams
  • Flexibility and adaptability to changing project requirements and deadlines

Responsibilities

  • Assist the SVP and Development and Construction teams in managing project schedules, deadlines, and budgets
  • Coordinate with contractors, vendors, and subcontractors to ensure timely delivery of materials and services
  • Assist with the design and execution of suite renovations, model apartments, leasing centers, and common area amenities
  • Maintain organized records of design concepts, specifications, and approvals for various projects
  • Nurture positive relationships with various internal and external stakeholders. Communicate effectively verbally and in writing to expedite and track project progress
  • Assist team in selecting and sourcing materials, furniture, and finishes for project spaces
  • Coordinate design timelines, approvals, and sample deliveries to ensure deadlines are met
  • Creating and maintain design boards, presentations, and layouts
  • Maintain inventory of design samples and assist in showroom visits and product selection and procurement processes
  • Develop and manage relationships with architects, designers, suppliers, vendors and manufactures
  • Manage and organize, meetings, and travel arrangements for the SVP and Director and Development and Construction
  • Prepare, proofread, and format documents, presentations, and reports
  • Assist with the preparation of contract documents and procurement processes
  • Take meeting minutes and ensure follow-up on action items and deadlines
  • Serve as a primary point of contact between internal teams, contractors, architects, and designers
  • Ensure clear communication across departments and handle requests or issues in a timely manner
  • Provide excellent customer service and facilitate internal and external client interactions as needed, including resident and commercial tenant-related inquiries during renovations
