Requirements
- Bachelor’s degree preferred
- 5+ years administrative experience supporting a senior-level entertainment executive; C-Suite support in a fast-paced, dynamic environment preferred
- Adept at time management, anticipating needs, hitting deadlines, and executing with precision and follow-through; manage and track multiple high-priority tasks simultaneously without letting things fall through the cracks
- Ability to adapt to unexpected situations while prioritizing tasks based on deep understanding of the business and CCO’s schedule/priorities
- Excellent interpersonal skills with the ability to interface effectively with team members, senior management, high-level executives, talent representatives and their offices
- Excellent written, verbal, and telephone skills
- High proficiency with MS Office and Google Suites (including Word, Excel, Outlook, Google Docs); ability to learn new software quickly
- Highly self-motivated, proactive, quick-thinking, flexible, adaptable, collaborative, and resourceful, with excellent common sense and judgment
- Experience in exercising sensibility, discretion, and diplomacy in handling all matters, information, and relationships including those of confidential or sensitive nature
- Ability to give, receive, and implement feedback constructively
- Enthusiasm for the entertainment industry and familiarity with its concepts, customs, practices, players, and landscape (e.g. agencies, studios, producers, talent law firms, etc.)
Responsibilities
- Maintain consistent awareness of CCO’s priorities and strategize schedules and communications accordingly
- Oversee CCO’s calendar and daily scheduling including coordination of external and internal meetings, events, and appointments, arranging physical and/or virtual conference details, technology and A/V presentation set-up, as well as communication to appropriate parties
- Prepare agendas, maintain status reports, generate materials and information for meeting prep including biographies, credits, upcoming projects, representation, etc.
- Manage heavy call and email volume, screen incoming correspondences, disseminate team communication, proactively identify next steps and needs
- Anticipate and handle additional day-to-day tasks such as email distributions, updating contact information, managing expense reports, note-taking needs, managing meal orders for executive meetings and lunches, filing, ordering of supplies, etc.
- Create, organize, and update shared databases and electronic filing systems
- Prepare correspondence, reports, reference materials, light content-related research, and other documents while upholding the utmost discretion and confidentiality
- Read and digest important content-related documents and discern, summarize, and/or annotate critical data/information
- Arrange detailed domestic and international travel plans, bookings, itineraries, and meal reservations as needed
- Work cross-functionally with colleagues in various business units; communicate and collaborate effectively with internal and external stakeholders
- Responsible for sourcing and coordinating thoughtful gifts for clients, business partners, or employees on behalf of the CCO, ensuring they are appropriate for the occasion and recipient while maintaining confidentiality and adhering to company policies
- Ad hoc administrative duties, projects, and workflows as required, such as maintaining weekend reading logs and anticipating CCO’s needs related to project development
- Serve as a representative of the CCO and Skydance to external parties with diplomacy, sensibility, and thoughtfulness, including in relation to transmitting correspondence/communication, welcoming guests, etc.
