Requirements

  • 10+ years of executive support experience with at least two years of experience directly supporting a tech CEO in a fast-paced environment, preferably within a startup or high-growth company.
  • Exceptional writing and editing skills, with a critical eye for polish, grammar, and clarity in high-stakes communications.
  • Experience optimizing tools, processes, and workflows to enhance executive support and operational effectiveness, with a commitment to continuous learning and improvement.
  • Strong expertise in Google Workspace (Gmail, Sheets, Docs, Slides, etc.) with a willingness to learn and implement new productivity tools.
  • Sound judgment and discretion, ensuring confidentiality and handling sensitive information with the highest level of professionalism.
  • Exceptional organization and collaboration skills, thriving in a team-oriented environment while providing top-tier executive support.
  • Agility in shifting priorities, maintaining a stakeholder-focused mindset and a positive, solutions-driven approach under pressure.
  • Flexibility to travel to our Berkeley office as needed.
  • Bachelor’s degree required.

Responsibilities

  • Listen to key meetings to track priorities, set weekly objectives, and ensure follow-through on critical initiatives. Keep executives focused on the highest-impact tasks by proactively managing competing priorities.
  • Strategically align schedules with top priorities, ensuring meetings, appointments, and travel are structured for maximum efficiency and impact.
  • Attend and document key meetings, capturing action items, following up on deliverables, and maintaining momentum on high-stakes initiatives.
  • Seamlessly handle travel logistics—including flights, accommodations, and ground transportation—while providing detailed itineraries and pre-meeting briefings.
  • Draft, refine, and deliver high-quality reports, correspondence, and presentations to support executive decision-making.
  • Provide proactive onsite support, including managing visitors, deliveries, and logistics, ensuring a smooth and productive work environment.
  • Act as a critical liaison between executives, internal teams, and external partners, facilitating seamless communication and alignment.
  • Own the execution of executive team events and strategic gatherings, ensuring flawless logistics and a high-impact experience.
  • Handle executive requests, resolve scheduling conflicts, and manage day-to-day operations with efficiency and discretion.
  • Filter distractions by screening calls, requests, and issues, ensuring executives stay focused on mission-critical objectives.
