Requirements

  • Proven experience as an executive assistant or other relevant administrative support role.
  • In-depth understanding of office management and the intricacies of scheduling.
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Proficient with office software, scheduling tools, and communication platforms.
  • Excellent verbal and written communication skills.
  • Ability to maintain discretion and confidentiality in all matters.
  • High attention to detail and problem-solving skills.

Responsibilities

  • Efficiently manage and coordinate calendars, including setting up, confirming, or rearranging appointments as necessary.
  • Prioritize conflicting needs; handle matters expeditiously, and proactively, and follow through on projects to successful completion.
  • Liaise with other executives, internal teams, and external contacts to streamline scheduling.
  • Plan and coordinate travel arrangements.
  • Manage and process expense reports related to travels.
  • Coordinate team meetings, offsites, and events, ensuring all logistics are handled and team members are informed.
  • Assist in the preparation and organization of team-building events or departmental functions.
  • Collaborate with other departments or teams as necessary to ensure seamless event planning.

Preferred Qualifications

  • Bachelor’s degree or equivalent experience preferred.
