Requirements

  • 10+ years in roles supporting leadership, such as Executive Business Partner, Executive Assistant, or Executive Operations, with proven success in dynamic environments.
  • Experience in high-growth or early-stage startup environments, where flexibility and adaptability are essential.
  • Experience managing executives’ times and providing strategic recommendations that directly impact their success.
  • Exceptional skills in managing time, schedules, and travel logistics with impeccable attention to detail and the ability to keep multiple projects organized.
  • Clear, concise, and confident in verbal and written communication, with an ability to establish and build trust in relationships across all levels of the company.
  • Demonstrate the highest levels of integrity, trustworthiness, and discretion in handling sensitive information, maintaining confidentiality, and exercising sound judgment in all interactions and decision-making.
  • A knack for identifying gaps, anticipating needs, and taking initiative to improve efficiency and solve problems before they arise.
  • Familiarity with Google Workspace and Slack and a desire to adopt new tools that streamline business operations and administration.
  • Willingness to be onsite at our San Francisco office a minimum of 3 days per week.

Responsibilities

  • Oversee and optimize the calendars of the CFO, CPO, and GC, ensuring time is allocated efficiently and priorities are managed.
  • Manage logistics for meetings, travel, and events, building strong relationships with internal and external stakeholders to ensure your executives are always prepared and aligned.
  • Collaborate with the Executive Operations Partners across the company to streamline administrative processes, proactively identify gaps, and implement solutions that drive operational excellence.
  • Provide help to other Executive Operations partners for team events like offsites and company events, as needed.

Preferred Qualifications

  • Experience with productivity tools such as Superhuman and Notion
  • Knowledge of HIPAA, privacy regulation, and compliance standards, or a willingness to learn.
  • A desire and appreciation for mentoring and coaching other administrative professionals to build a high-performing operations team.
