Requirements

  • advanced end-to-end payroll management experience, including multi-state and international payroll processing (US, Canada, UK)
  • strong knowledge of payroll tax compliance, labor laws, and statutory benefits across multiple jurisdictions
  • proficiency in HRIS and payroll systems (ADP Workforce Now required; Deel Global Payroll preferred), with experience in data integrity management and troubleshooting
  • experience with payroll audits, reconciliations, and process improvements to ensure accuracy and compliance
  • deep understanding of payroll deductions, including garnishments, 401(k), Health Savings Accounts, and other statutory withholdings
  • proven ability to handle escalations, identify root causes, and implement corrective actions in payroll operations
  • strong cross-functional collaboration skills, working effectively with HR, Finance, Accounting, and external vendors
  • advanced technical skills in Microsoft Excel, Google Suite, and Slack for payroll reporting and data analysis
  • industry knowledge of local, state, federal, and international payroll regulations, with a keen eye for compliance
  • ability to manage high-volume, time-sensitive payroll tasks, including multi-pay period payout schedules
  • highly organized, detail-oriented, and discreet, with the ability to maintain strict confidentiality

Responsibilities

  • process payroll across multiple entities, including the US and Canada (bi-weekly) and UK (monthly), ensuring accurate and timely payroll execution
  • ensure compliance with all local, state, federal, and international tax requirements, statutory benefit withholdings, and labor laws while proactively addressing regulatory changes
  • manage all payroll changes, including salary updates, back-pay, deductions, bonuses, garnishments, and final pay processing, while ensuring accuracy and proper documentation
  • maintain employee data across HRIS and payroll systems (ADP, Deel, etc.), ensuring seamless integrations, accurate reporting, and timely updates for new hires, terminations, and compensation adjustments
  • conduct regular audits, reconciliations, and compliance checks to ensure payroll accuracy, proper tax filings, and adherence to state-specific regulations (including multi-jurisdictional payroll complexities)
  • identify inefficiencies in payroll processing, system integrations, and reporting, working closely with the Director of Operations to drive automation and reduce manual efforts
  • serve as the escalation point for payroll discrepancies, system errors, and employee payroll concerns, ensuring swift resolution and proactive communication
  • partner with Accounting & Finance to provide detailed payroll reports, labor cost analysis, and insights for budgeting and forecasting
  • manage relationships with payroll vendors (ADP, Blue MarbleDeel, etc.), ensuring system enhancements, compliance updates, and troubleshooting support
  • work closely with Finance, HR, Benefits, Legal, and Accounting to ensure payroll accuracy, alignment with company policies, and a seamless employee experience
