Requirements

  • Two (2) years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
  • An associate degree in any field; OR
  • An equivalent combination of education and experience.

Responsibilities

  • Provide clerical support across various sections at the Oregon State Penitentiary, including AIC Work Programs, Group Living, Special Housing, the Superintendent’s Office, General Services, and the Security Office.
  • Order, LEDS and CJIS management, new employee screening, and assisting managers with clerical needs.
  • Cover absences of other office staff.
  • Manage office supply inventory and routine purchases.
  • Order name tags and institutional forms.
  • Retrieve and distribute section mail to the appropriate area/staff.
  • Organizing and maintaining staff working files, ensuring compliance with archive retention schedules.
  • Monitor work priorities and time frames to meet targeted deadlines.
  • Provide clerical support to managers, assisting with documentation of staffing rosters.
  • Schedule meetings, prepared agendas, and attended meetings to record official actions.
  • Work independently on various assignments, including institution audits, special projects, and the preparation of reports.
  • Strong communication skills (verbal and written).
  • Manage and work with confidential information.
  • Experience working with Microsoft Office (Word, Excel, Outlook, etc.).

Preferred Qualifications

  • Law Enforcement Data System (LEDS) certification
  • Knowledge or experience working with SPOTS cards/accounts
  • Experience working with Automated Financial Accounting Manufacturing Inventory System (AFAMIS)
