Responsibilities
- Oversee the daily operations of the office, ensuring efficiency and effectiveness.
- Develop and implement operational policies and procedures.
- Ensure the office environment is conducive to productivity and innovation.
- Manage office facilities, including space planning, maintenance, and security.
- Coordinate with building management and external vendors for office services and maintenance.
- Ensure compliance with health and safety regulations.
- Provide high-level administrative support to the executive team.
- Manage schedules, appointments, and travel arrangements.
- Oversee office communications, including correspondence and phone calls.
- Manage office supplies and inventory, ensuring timely procurement and replenishment.
- Negotiate contracts with suppliers and service providers.
- Optimize resource allocation to meet operational needs.
- Assist in budget preparation and monitor office expenditures.
- Handle invoicing, receipts, and petty cash management.
- Coordinate with the finance department for financial reporting and compliance.
- Plan and coordinate company events, meetings, and conferences.
- Manage logistics for internal and external events.
- Ensure events run smoothly and within budget.
- Oversee the implementation and maintenance of office technology and tools.
- Ensure the office has the necessary technological infrastructure to support operations.
- Coordinate with IT for technical support and system upgrades.
