Requirements

  • Proven experience as a Payroll Specialist or similar role, with experience in both US and Canadian payroll.
  • Solid understanding of US and Canadian payroll regulations, tax laws, and benefits administration.
  • Proficiency in payroll software (e.g., ADP, Ceridian, Workday, etc.) and MS Office (Excel, Word).
  • Excellent attention to detail and accuracy in data entry and payroll processing.
  • Strong communication skills, both verbal and written, to effectively interact with employees and departments.
  • Solid organizational and time management skills with the ability to meet deadlines.
  • Process-first mentality is very important.
  • Excellent interpersonal skills in managing processes and cross-functional relationships.
  • Ability to maintain data confidentiality with a strong sense of professional integrity.
  • Highly analytical with extraordinary organization and prioritization skills and a proven track record to meet hard deadlines.

Responsibilities

  • Process bi-weekly and semi-monthly payroll for employees in the US and Canada, ensuring compliance with applicable federal, state/provincial, and local regulations.
  • Ensure accurate and timely processing of wages, bonuses, commissions, deductions, and other payroll elements.
  • Administer payroll taxes for both US and Canadian employees, ensuring correct deductions and remittance to the relevant tax authorities.
  • Coordinate with HR and other departments to ensure that employee records are updated with changes such as new hires, terminations, promotions, salary adjustments, and benefits.
  • Prepare and review payroll reports, ensuring all data is accurate and complete.
  • Handle inquiries related to payroll issues, including discrepancies, missing hours, deductions, and general employee concerns.
  • Process and maintain employee benefits such as health insurance, pension, and other voluntary deductions in accordance with company policies and compliance.
  • Stay updated on changes in US and Canadian payroll legislation and tax laws to ensure compliance.
  • Assist with year-end processing, including the preparation of T4/T4A, W-2, and other relevant year-end forms.
  • Collaborate with HR and finance teams on various payroll-related issues.
