Requirements

  • High school graduate or equivalent.
  • Can communicate effectively with physician’s patient families and co-workers.
  • Knowledge of basic computer and Windows applications.
  • Must have exceptional customer relations skills.

Responsibilities

  • Receive and direct all incoming phone calls to the department.
  • Act as first line of contact for callers, visitors and patients.
  • Review and process incoming orders.
  • Schedule various exams not scheduled by Centralized Scheduling.
  • Distribute Cleveland Clinic AGMC Notice of Privacy Practices and Patient Rights/Responsibilities documentation to patients for compliance.
  • Provide assistance, education, and direction to all who seek help.
  • Work in Multiple Systems: Radiology Information System, EPIC, FormFast, Order Facilitator, AGMC Portal (to obtain lab results), Hospital Information System (EPIC) and Multiple Paging Systems.
  • Cross train to work at multiple workstations. (Inpatient, Outpatient and Scheduling).
  • Review orders for accuracy including the correct patient billing and medical record numbers.
  • Process all outpatient and inpatient orders coming into the department. Reviews for appropriateness and processes per department policy and procedures.
  • Enter all procedure exam codes into the Radiology Information System according to modality specific criteria. (Diagnostics, Nuclear Medicine, MRI, CT Ultrasound, Interventional, and PET Scan.
  • Complete all necessary paperwork and document all required information appropriately.
  • Scan physician orders into EPIC upon patient arrival.
  • Research, obtain, and document all necessary lab results needed for patient procedures.
  • Coordinate and prioritize all paging activities to inform appropriate caregivers of Today, ASAP and STAT patient orders.
  • Schedule STAT outpatient procedures according to policy and procedure. Provide timely notification to appropriate technologist.
  • Schedule complicated procedures not handled by Centralized Scheduling.
  • Prepare daily Fluoro schedules according to policy and procedure.
  • Print daily schedules and work in advance to arrive procedures in the Radiology Information System (RIS) System after patient registration.
  • Prepare pre-procedure packets and/or print worksheets according to the specific procedure and modality.
  • Notify on-call caregivers and physicians of STAT patient orders when applicable. Documents all communicates in ledger for accreditation (TJC, Trauma, CMS) compliance.
  • Complete daily reconciliation (in RIS) of cancelled and on-hold inpatient procedures.
  • Maintain printers, fax machines and copiers with appropriate levels of stock. Notify appropriate personnel if equipment is malfunctioning.
  • Other duties as assigned.
  • Complete mandatory education and training to maintain organization and department-specific competencies and requirements.

Preferred Qualifications

  • Previous front desk experience.
  • RIS (Radiology Information System) experience.
