Requirements

  • Proficiency in patient interaction skills, such as maintaining a welcoming demeanor while handling multiple tasks
  • Understanding of basic administrative systems while gaining proficiency with scheduling, data entry, and communication software
  • Master multiple computer systems including Google Workspace, Excel, and Teams
  • Ability to develop and maintain strong relationships with physicians, coworkers and patients
  • Demonstrated effectiveness showing courtesy, diligence, integrity, and teamwork in alignment with ARA core values-Serving with Compassion, Striving for Excellence, and Practicing Humility
  • Excellent organizational and time management skills ensuring all tasks are completed in a timely manner satisfactory to the organization with ability to independently manage workflow
  • Strong interpersonal skills including effective listening, clear communication, effective customer problem resolution with warm encouraging demeanor, able to relate well with others
  • Experience in medical office front desk or administration
  • Demonstrate a commitment to continual improvement in a feedback driven team
  • High School Diploma or equivalent

Responsibilities

  • Greet and check in research subjects and inform study team of subject arrival
  • Responsible for the scheduling of appointments, check-out processes, and scheduling transportation for subjects as needed
  • Input routine subject data and manage administrative tasks as needed for supervisors
  • Assist with the workflow of the clinical studies daily schedule by ensuring the Physicians and study staff are available at the appropriate time slots for each subject visit
  • Maintain regular communication with clinical and research teams to ensure smooth operations
  • Other duties assigned on an as needed basis delegated by Supervisor

Preferred Qualifications

  • Demonstrated warm demeanor when greeting and interacting with patients and staff. Smiles and readily approaches patients to welcome them
  • Ability to develop and maintain effective relationships at work even in a high-paced, sometimes high-stress environment
  • Bilingual in Spanish
  • EMR & CTM experience a plus
