Requirements
- AA/AS degree (or other 2-year post high school training) & 6+ years of experience providing administrative support, including the support to senior leaders or executives. A High School diploma plus 10 years of applicable experience may also be considered.
- Must be a U.S. Citizen. This position may require access to systems/tools that are restricted to individuals who possess US citizenship.
Responsibilities
- Manage executive calendars/schedules and provide advance notice on important meetings to support appropriate preparation.
- Screen/field incoming scheduling requests and effectively manage incoming and outgoing communications in an efficient and confidential manner.
- Provide timely responses, as well as direct items to appropriate individuals for action and/or informational purposes for the program’s director and executive director.
- Formatting of presentations and materials for various reviews; create Word, Excel, and PowerPoint documents as required.
- Plan and arrange domestic and international travel and processing and submitting expense reports in a timely manner.
- Managing supplies for the department, ordering and organizing as necessary.
- Arranging catering for internal and external meetings.
- Processing and tracking of invoices, as well as coordinating any moves into and out of the area and submit required “move” paperwork.
- Supporting special projects, MDP program managers, assignments, and other functions as required, including developing standard work where applicable. Also, supporting CORE Team/Activities.
Preferred Qualifications
- Excellent communication skills (both written and verbal), attention to detail, and the ability to interact effectively across all levels of a large, complex organization.
- Ability to take direction, respond to changing priorities, and juggle multiple priorities concurrently.
- Proficient computer skills including experience in Microsoft Office – Outlook, Excel, Word and PowerPoint.
- Proficient Calendar Management experience for multiple senior leaders.
- Experience working in US Government is a plus.
- Willingness to apply for a US Government Security Clearance in the future.
