Requirements

  • 4-5 years of experience in event management or experiential marketing, planning and executing event and marketing strategies.
  • Excellent problem-solving skills with the ability to creatively negotiate demands and manage suppliers such as DMCs, event agencies, and associated budgets.
  • Strong project management skills with a commitment to being highly organized, determined to meet deadlines and focus on quality control.
  • Must be tech literate and demonstrate hands-on experience working with registration and online experience platforms such as Cvent, Rainfocus, Zoom, Teams, etc.
  • Must have some experience with contract negotiation.
  • Excellent presentation, written and verbal communication skills; ability to communicate concepts and details across internal and external stakeholders at all levels.
  • Experience working with project management software such as Monday.com.
  • Familiarity with using content management systems such as SalesForce.
  • Proficient in Microsoft Office Suite, especially skilled in PowerPoint and Excel.
  • Must have the ability to travel, internationally and domestically, up to 30% of the time.

Responsibilities

  • Support a variety of global in-person and online events of varying scales, with an emphasis on delivering unique, memorable engagement opportunities for internal and external audiences.
  • Lead individual workstreams across events, ensuring timely delivery of milestones that align with event strategies and business goals.
  • Collaborate with Sales, Product Marketing, Sales Enablement, and Corporate Marketing to define event objectives, align messaging, and ensure consistency across all touchpoints.
  • Manage day-to-day operations with external agency partners—including briefings, timelines, deliverables, and budgets—acting as the primary contact to ensure timely, brand-aligned execution.
  • Oversee logistics for contingent workers, including onboarding and offboarding, and support team offsites through coordination and execution.
  • Support internal department operations, including scheduling meetings, capturing action items, and maintaining team resources and SOPs.
  • Submit and track purchase requisitions and invoices using Coupa; reconcile against event budgets and maintain accurate budget tracking tools.
  • Own the attendee registration process; manage updates to attendee portals and microsites; pull reports and analyze event platform data to evaluate performance and drive improvements.
  • Propose, manage, and fulfill attendee gifting and incentive initiatives—sourcing quotes, managing orders, tracking fulfillment, and resolving issues as needed.
  • Continuously optimize event formats and experiences by testing new engagement tactics and technology for both in-person and virtual environments.
  • Submit requests for giveaways and incentives through internal systems; draft terms and conditions; coordinate with Legal for approvals.
  • Manage visa letter requests from creation through delivery; research and apply updated guidelines as needed on a case-by-case basis.
  • Develop clear, audience-specific event communications, including promotional messaging and attendee-facing content, in collaboration with Corporate Communications to ensure tone and brand consistency.
