Requirements
- U.S. Citizenship (required by federal government for position)
- Active high level clearance
- 5+ years of relevant experience
- Bachelor’s degree in a relevant field (e.g., public administration, business, communications) or equivalent experience
- Executive-level support experience, preferably within federal agencies
- Demonstrated success in supporting senior leaders in high-pressure environments
Responsibilities
- Identify and implement efficiencies, process innovations, and automation opportunities to reduce administrative burden and enhance operational outcomes
- Act as a primary point of contact for client leadership, delivering high-quality, prompt responses to requests
- Anticipate client needs and proactively propose solutions to challenges
- Drive strategic efforts across agency subdivision office, with an emphasis on the development and tracking of fiscal year goals, aligning agency and subdivision wide initiatives to office equities, and support to other strategic initiatives
- Support special projects impacting cross-office sections for organizational and mission maturity
- Oversee development and upkeep of knowledge management efforts such as document retention, MS Teams channels, SharePoint sides, Hub, and office knowledge management strategy
- Ensure the channels and mechanisms are established to store and agency office information through a KM solution
- Convene the office sections and find opportunities to standardize knowledge management across the Production Office (i.e., KM road map, data dictionary)
- Provide recommendations for knowledge management best practices and work with the sections on implementations of the recommendations
- Oversee the federal employee hiring lifecycle within office and maintain visibility on all human capital related matters (e.g., Cyber pay, CLP, awards, etc.)
- Oversee federal employee hiring efforts to fill remaining vacancies and provide support to divisional strategic hiring working group
- Provide guidance regarding travel, conferences, training, and budget matters
- Lead improvements to the office travel process to proactively manage visibility into external engagements and align to funding allocation
- Oversees task management process for tracking all office level taskings inside and outside of task tracking system
- Streamline task management by finding opportunities to leverage previous responses or developing a standard repository of responses to commonly requested information
- Provide daily and monthly reporting on operational priorities, engagements, and notifications that is shared to leadership and across the division
Preferred Qualifications
- Advanced proficiency with MS Office Suite (SharePoint, Teams, PowerBI, Excel, Word, PowerPoint, Outlook)
- Exceptional interpersonal, organizational, and strategic thinking skills
- Superior oral and written communication capabilities, with a focus on clarity and precision
- Proven ability to manage competing priorities, make sound decisions under pressure, and complete tasks with minimal supervision
- Strong analytical and problem-solving capabilities, with an emphasis on producing actionable outcomes
- A proactive, collaborative mindset with the ability to work effectively across various teams and levels of an organization
