Requirements
- Bachelor’s degree or equivalent combination of education and facilities management experience
- Relevant designation LEED, CFM, FMA is preferred
- 5+ years of facilities experience in corporate, third party, or as a consultant
- Excellent verbal/written communication and presentation skills
- Customer Focus – Proven record of providing excellent internal and external customer service
- Strong Business Acumen – Knowledge of standard business and accounting practices
- Team leadership and supervisory experience
- Knowledge of building systems, mechanical, electrical, HVAC, highly desired
- Computer proficiency with MS Office and CMMS (Computerized Maintenance Management System)
Responsibilities
- Manage the delivery of facilities services to the assigned portfolio by all agreed policies, procedures, and contract scope.
- Perform as SME in the management of facility services, budgeting, and project management in assigned region.
- Make all scheduled site visits performing interior and exterior site inspections, documenting facility conditions, and integrating with additional service lines to ensure functional, comfortable, compliant, energy efficient, and attractive facilities per approved operating budgets – including compiling/analyzing data.
- Ensure vendors meet service delivery standards, document and manage scope changes, and instances of poor performance.
- Develop and implement innovative programs and processes that reduce short and long-term operating costs and increase productivity.
- Ensure compliance with all health, safety, environment, and risk management policies and procedures.
- Support account-wide initiatives such as compliance reviews, audits, training programs, and other initiatives as appropriate, through driving implementation at a regional level.
- Drive initiatives such as benchmarking, best practices, and continuous improvement.
- Support the execution of small construction projects as required and act as the area point of escalation.
- Engage internally with other teams, which may include leasing, project development, IT, engineering services, security, and other client-required internal resources.
- Support the account within the defined region as SMEs to bring value to the client and facilitate engagement.
- Deliver portfolio management reports as required under the agreement with the client and as requested.
- Proactively develop and manage client relationships, ensuring that expected service levels are achieved.
- Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
- Foster and develop positive client relationships and act as SME for all facility-related services within the assigned region.
- Deliver an exceptional quality of service to the client, as reflected by client feedback.
- Develop and manage Facility operating budgets for the assigned portfolio, proactively track variances, and manage within target of agreed budgets, identifying efficiencies and savings where possible.
- Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identify additional efficiency opportunities, consistent with client goals.
- Prepare current financial year budget spending reports (actual vs. budget, variance, etc.), analyze expenditure, and demonstrate value or alternative efficiency initiatives (cost savings or increased account profitability).
- Manage payments to vendors where applicable, using available systems, complying with all relevant policies and procedures.
- Ensure compliance within delegated financial and contractual authorities.
- Participate in the individual performance management program and personal development planning for members of the team.
- Align with the facility’s leadership team as a manager and act in a manager capacity for any locations within the assigned region.
- Lead, manage, develop, and supervise a professional, friendly, creative, energetic, and detail-oriented team in the delivery of extraordinary service.
