Requirements
- Proven experience (7+ years) in facilities management, preferably within a law firm or professional services firm, in a Class A building.
- Bachelor’s degree in facilities management, business administration, or a related field preferred.
- Strong knowledge of building systems, construction processes, safety regulations, and compliance standards.
- Exceptional organizational and project management skills with the ability to prioritize multiple tasks and deadlines.
- Ability to respond during non-regular business hours for emergency situations.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with the firm’s attorneys and professionals, management, and external vendors.
- Experience managing budgets and financial reporting for facilities operations.
- Ability to lead, supervise, and motivate a team.
- Strong problem-solving skills with a proactive and solution-oriented mindset.
- Proficiency in facilities management software and other relevant technology (e.g., building management systems, project management tools).
- LEED or other facilities management certification a plus.
Responsibilities
- Lead and supervise facilities professionals, while overseeing vendor-managed services in hospitality and the service center.
- Oversee daily operations of the office environment, including managing vendors who support office maintenance, and functionality of office facilities.
- Coordinate and oversee maintenance and service requests, including electrical, mechanical, plumbing and cooling systems and ensure timely completion of any work or repairs.
- Lead or participate in key workplace improvement projects, including office relocations, renovations, or expansions.
- Manage the planning, organization, and optimization of office and workstation space.
- Oversee vendor-managed hospitality services, ensuring efficient conference room setup and cleanup, as well as food ordering for meetings and special events.
- Oversee vendor-managed service center operations, including mail handling, duplicating and binding services, and electronic file conversions.
- Identify, evaluate, and manage third-party vendors and service providers.
- Serve as the first point of contact for building management, security personnel, and building-related issues, including during after-hours.
- Ensure the workplace complies with all health and safety regulations, including managing emergency protocols, safety training, and ensuring a safe working environment.
- Prepare and manage the facilities budget for the Los Angeles office.
- Collaborate with various departments, committee chairs and leadership to enhance employee experience through workplace amenities and services.
- Serve as the main point of contact for workplace issues and concerns, communicating effectively with employees, management, and external partners.
- Work closely with the Information Technology team to coordinate the setup and maintenance of AV equipment and other technology resources required to support workplace operations.
- Work closely with the event planning, trial logistics and relevant teams to manage the logistics for internal meetings and events, including room setup, A/V equipment, catering, and special requests.
- Manage urgent facility-related issues, such as security breaches or major system failures, serving as an on-call responder as needed.
- Track and analyze facility-related metrics to provide actionable insights and regular reports for leadership decision-making.
Preferred Qualifications
- LEED or other facilities management certification a plus.
