Requirements

  • 5+ years of related experience in Facility Management or similar field.
  • Bachelor’s degree or equivalent experience required; Bachelor’s degree in related field preferred.
  • Previous leadership experience required.
  • Intermediate knowledge of applicable regulatory and legal compliance obligations, rules and regulations, industry standards and practices.
  • Intermediate computer operational skills required including Microsoft Office.
  • Ability to read and understand architectural drawings, leases, contracts, and construction practices.
  • Excellent organizational, coordination, and time management skills.
  • Must be able to provide timely, reliable, and courteous service to internal customers.
  • Ability to effectively present information and work closely and collaboratively with other departments.
  • Expert speaking and writing communication skills.
  • May require up to 25% travel.

Responsibilities

  • Responsible for facility operations of assigned Bank locations and the oversight of Facilities Managers.
  • Manage routine issues including building configuration changes, employee relocations and tenant improvements.
  • Maintain or delegate regular communication with Bank employees, building owners and vendors.
  • Manage processes and procedures related to the management of and changes within the facility.
  • Provide a high level of quality and efficient service to all properties and Bank employees and assure compliance with all Bank policies and procedures, as well as all applicable state and federal banking regulations.
  • Maintain up to date space plans and employee locations for ease of space planning discussions and relocations, manage employee relocations, reconfigurations, furniture needs and installs.
  • Prepare and oversee Property Service Agreements and review appropriate documentation for vendor management.
  • Ensure each property includes appropriate emergency and preventative maintenance services, respond to facilities and employee email requests and work orders, and ensure all emergency contact information for assigned Bank locations are up-to-date.
  • Perform and document quarterly on-site facility visits to Bank locations to assess employee safety, vendor performance in accordance with agreements, compliance of policies; identify maintenance needs, excessive clutter, cord management and overall aesthetics.
  • Ensure annual safety inspections with a third party vendor are performed at Bank locations and document and respond in a timely manner to identified issues or concerns.
  • Review and approve invoices for payment in a timely manner and prepare and manage general administrative paperwork.
  • Oversee construction projects for Director of Real Estate which may include obtaining bids, scheduling and coordinating moves, project schedules, reporting detailed cost and project budget information and attending project meetings when necessary.
  • Assist in review and implementation of policies and procedures for the business unit to ensure adherence to best practice, compliance, relevant regulations and legislation.
  • Perform Property Analysis using Argus.
  • Communicate with third party property managers.
  • Special projects as assigned by the Director of Real Estate.
