Requirements

  • Associates Degree
  • 8+ years combined experience as a receptionist, office manager, or event planner
  • 8+ Years acting as an EA to senior-level (Director +) individuals
  • Ability to work on-site at Madison Logic’s NYC (Park Avenue) headquarters a minimum of 3 days per week with additional days on an as-needed basis (i.e. in-office work will be required on any days during which there are scheduled events, board meetings, client meetings, etc… or in the case that personnel are required on-site to meet with vendors)
  • Availability during off-hours (outside 9am-5pm EST) as needed
  • Expert Knowledge of Outlook
  • Ability to exercise independent judgment and decision making
  • Proven ability to execute on events within budget parameters
  • Demonstrated ability to effectively negotiate with vendors and reduce costs

Responsibilities

  • Guest Handling, including welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Manage conference room bookings, equipment setup, and hospitality for visitors
  • Manage office vendors, including supplies, maintenance, equipment servicing, and utilities
  • Maintain inventory of office supplies, reordering as necessary
  • Maintain a clean, professional, and welcoming office space aligned with company culture
  • Coordinate weekly in-office breakfasts and monthly happy-hours
  • Serve as the primary point of contact for facility-related inquiries and issues
  • Support health & safety compliance and ensure emergency protocols are up to date
  • Oversee office budgets, including expenses for supplies, snacks, events, and subscriptions
  • Manage incoming/outgoing mail and shipping logistics
  • Coordinate office moves, seating plans, and workspace assignments (as needed)
  • Answering emails and executive communications in a polite and professional manner while maintaining confidentiality, exercising discretion, and prioritizing the most sensitive matters
  • Managing CEO calendar(s), including scheduling appointments, reserving conference rooms and making restaurant reservations as needed
  • Managing executive travel bookings
  • Managing executive travel & expense reporting, including collection and organization of receipts
  • Organizing meetings (including Board of Director Meetings) including scheduling, sending reminders, and organizing, serving & clearing catering when necessary
  • Manage Gift Ordering & Delivery to external parties (clients & partners) within an established budget
  • Manage special projects or tasks as assigned or required
