Requirements

  • 4 years proven experience in an administrative, coordination, or recruitment support role
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Exceptional written and verbal communication skills
  • Familiarity with applicant tracking systems (ATS) and scheduling tools
  • Must have Workday, or ICIM’s experience
  • A high level of attention to detail and a commitment to accuracy
  • Strong interpersonal skills with the ability to build positive relationships with candidates, recruiters, and hiring managers.

Responsibilities

  • Schedule interviews, including panel, phone, on-site, and virtual formats, ensuring timely coordination with all stakeholders
  • Arrange candidate travel logistics as needed, ensuring a smooth and stress-free experience
  • Reserve and prepare meeting rooms or set up video conferencing tools and ensure all resources are ready for interviews
  • Send interview confirmations and follow-up emails to candidates and interviewers with clear instructions and details
  • Provide candidates with relevant materials, including company overviews, interview guides, and assessments, to set them up for success
  • Track and update candidate progress in the applicant tracking system (ATS), maintaining data accuracy and integrity
  • Collect, consolidate, and distribute interview feedback in a timely manner to enable next-step decisions
  • Ensure all recruiting activities comply with legal and organizational policies, maintaining high standards of compliance and confidentiality
  • Act as the primary contact for candidates on logistical questions or concerns, ensuring they feel supported and informed throughout the hiring process
  • Deliver an exceptional candidate experience by providing clear, consistent, and timely updates at every stage of the recruitment journey.

Preferred Qualifications

  • Bachelor of Science degree in Human Resources, Business or related degree
  • 6 years proven experience in an administrative, coordination, or recruitment support role
  • 2 years supporting new employee experiences/onboarding processes
