Requirements

  • High school diploma or equivalent; additional certification or coursework in customer service, business, or a related field is a plus.
  • Proven experience in a customer service or hospitality role, preferably in a corporate or commercial real estate environment.
  • Excellent interpersonal and communication skills, with the ability to build relationships, communicate effectively with diverse individuals, and provide exceptional customer service.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Tech-savvy, with the ability to navigate workplace technology tools, equipment, and software.

Responsibilities

  • Sort and collate mail, dispose of junk mail, resolve issues with incorrect, returned mail, receive outgoing mail and apply correct postage, arrange for pickup of outgoing mail, stamp mail with postage meters, fold letters, circulars or other documents and insert into envelopes for distribution, record registered mail.
  • Place mail in proper buckets for distribution, process outgoing shipments (Fed-Ex, UPS, DHL and USPS), weigh mail to determine correct postage, place mail in metal bins and carry to departments for distribution.
  • Provide excellent customer service to employees and visitors, responding to inquiries, providing information, and addressing concerns promptly and professionally.
  • Assist employees with workplace-related needs, such as room bookings, equipment requests, and IT support coordination. Act as a resource for workplace policies, procedures, and resources.
  • Assist in the coordination and execution of workplace events, meetings, and activities, including room setup, catering coordination, and audiovisual setup.
  • Maintain and manage workplace amenities, such as break rooms, lounges, wellness rooms, and collaborative spaces. Ensure cleanliness, orderliness, and functionality of these spaces.
  • Promote and uphold workplace health and safety protocols and procedures, including proper use of equipment, adherence to emergency procedures, and reporting of incidents or hazards.
  • Educate employees on workplace policies, procedures, and guidelines. Ensure compliance with workplace rules, regulations, and standards.
  • Proactively identify opportunities for process improvement, service enhancement, and cost savings within the workplace. Provide feedback and suggestions for optimizing the workplace experience.
  • Engage in a range of organizational support tasks that may include document management, data entry, scheduling, coordinating meetings, or assisting with special projects. Adapt to changing priorities and contribute to the smooth operation of different departments as needed.
